Marketing Project Request Form Guidelines

Changes have been made to the project request forms. Please review each form carefully prior to submitting your request.

It is the responsibility of the Office of Strategic Communications and Marketing (SCM) at York Technical College to design, manage, and approve all publications and promotional materials for the College. A completed Marketing Project Request form must be submitted for all requested printing, design, and mail orders. Because projects range in size, text, purpose, and complexity, the time for consultation, design, and printing varies significantly.

“Time will vary by the scope of the request. Please plan for a project lead time of at least 4-6 weeks.” If we can complete it faster, we will. All project submissions require a word document containing all the information, including but not limited to, copy, research, graphics, reference materials, that you want included in the final project. While we may do some editing, the materials submitted should be accurate, approved, finalized, and polished.

Priority consideration is given to projects that align with SCM's strategic priorities which are:

  • Recruitment of students
  • Major institutional events
  • Promotion of York Technical College
  • Publications, events, and material aimed at the general public
  • Philanthropy and alumni engagement

If your request does not fall into the above priority areas, your request may be scheduled or you may be redirected to other resources and templates. We have branded templates available to you on Canva. You may work with your Canva liaison to gain access to these materials. Once you have completed your Canva design, hit the “share” button and share with marketing@yorktech.edu.

All projects accepted by SCM are allotted three (3) rounds of revisions unless other terms are agreed upon by both SCM and the client point of contact at the outset of a project. Every effort will be made to allow two (2) business days for client review and three (3) business days for SCM implementation at each round of revisions, but this timeline may need to be compressed to meet tight deadlines. Final client approval is expected on the fourth (4th) proof.

SCM cannot guarantee delivery of a project on the original specified due date if revisions do not adhere to this schedule. If client review time in any round exceeds two (2) days and/or if revisions exceed three (3) rounds, that project may be put on hold to accommodate other work with imminent deadlines.

After you submit the form, please be sure you receive an acknowledgment that your job was submitted successfully. An SCM representative will contact you within three to five business days.

Please note, submitting this form does not automatically guarantee that your request can be filled by the project review team, and an SCM team member will contact you to confirm scope and timing of the request.
